Initialize Account

We need to gather information from the client and store all assets so that they can be accessed by the development team.

Create Store Name

Before setting up the store, we have to create the Store Name that will be used for the final URL and for internal purposes:
  • Store URL. You should try to use shop.[client_domain].com. If we are hosting the client's primary website (i.e., not just their e-commerce store, or the e-commerce store is their sole website), the Store URL would be www.[client_domain].com. This is also the URL that will be used to create an SSL certificate/URL when the store is launched.
  • Store Name. The "title" of the store, such as "Willie Nelson Shop" or, simply, "RNT Calls" (if the store is the company's primary website).
  • Shopify URL. This is the URL that will be used to create the development instance in Shopify. Use [Store_Name].myshopify.com. Use hyphens as separators between the words in the Store Name (e.g. willie-nelson-shop.myshopify.com).
  • Note: When the actual development store is created in Shopify, the Store_Name may be appended with a number (e.g. "-2"). This is because that store name has been used in the past to create a temporary store. Your Shopify URL will be updated in these cases.

Record your designations for the above in a project Notebook entitled "Store Specifications."

Create Client Code

When creating directories, naming files, etc., we use Client Codes as prefixes so that we can quickly identify the ownership of various files and folders. The Client Code should be from 2 to 4 characters, usually the initials of the Company.
  1. Review the list of existing Client Codes.
  2. Create the Client Code, if the company doesn't already have a code designated.
  3. Add the new code to the Store Specifications project notebook.
  4. Add the new code to Client Codes, inserting it into the list in alphabetical order (by Client Code).

Create DropBox Directory

DropBox directories are created for each client company, not by Store site. That is, a Client may have more than one e-commerce site; however, we create only one DropBox directory to contain all the assets for all stores belonging to the client.

In the OLM DropBox:

  1. Go to OLM Store Clients.
  2. If the Client does not already have a directory, create a new directory names for the Client (e.g. "Acme Car Parts").
  3. Within this new directory, create the following subdirectories:
    1. [Client_Code] Content
    2. [Client_Code] Data
    3. [Client_Code] Design
    4. [Client_Code] Images

Note: DropBox folders cannot be shared with clients. You can share links to folders and files, but Clients are never allowed access to make changes or add to our OLM DropBox directories.

Create BaseCamp Project

In order to request information and allow clients to upload assets for our use, we will create a BaseCamp project in the OLM BaseCamp instance.
  1. Log into the OLM BaseCamp.
  2. Click New Project.
  3. Click the New Shopify Site template.
  4. Update the project name to [Store_Name] New Site (Store_Name is recorded in the Store Specifications Notebook).
  5. Click Invite More People and invite all OLM team members who will be working on the project.
  6. Invite the Client contacts as provided in the New Site Information Form (linked in the TeamWork project). Include all client contacts under The Client tab.
  7. Click Publish this Project.

Gather Design Assets from Client

Ask the client to upload any required images, documents, login information, etc. to their BaseCamp project.

Create Shopify Instance

For clients who are using the One Live shipping solution, a Shopify solution will be created. The first step is to set up the store in the One Live Shopify Partners portal.
